Why Document Management

Viscenario provides you with one system for handling all types of documents. Everything from 3D models, drawings, e-mail, Word documents. Automatic storage of Internal inspection Checklists in the document management system. The documents are available on tablets, the internet, Viscenario Drive and via Office 2013/2016.

Document management for internal and external users

Viscenario has its own cloud where you can upload all file types, so you always have your important files and documents easily accessible. The documents are also available on tablets. In Viscenario you can search, edit and share documents with others. Everything is traceable.

Drawings

By sharing drawings and other project documents with both internal and external project members, any changes will be well tracked, and the latest version is available on the tablet.

Document management with viscenario drive

Viscenario has its own drive called ViscenarioDrive, where the folders of the various projects / properties you have access to are visible. The drive can be found in Explorer on your Windows 10 PC or in the Finder on Mac.
Here you will be able to drag and drop documents, which will then be uploaded to Viscenario in the cloud. Viscenario supports all file types (everything from IFC (3D models), DWG, PDF and Office documents to name a few). The drive is quite similar to Dropbox.

Integration with office 2013-2016 for pc

Viscenario also has plug-ins for Office 2013 and 2016, so you can work with documents in Word, Excel and PowerPoint. Changes can also be saved as a new version of – or a new document. It is easy to search and modify existing documents. It is also possible to save emails directly in Viscenario, as well as add attachments from Viscenario to an email.

When a document is updated in ViscenarioDrive, Office or your browser, it is immediately available on your tablet, so you can, for example, open the DWG drawing in the A360 app for Autodesk, or open a PDF drawing and use it as a basis for an inspection, where you mark where there are deviations. Or use the drawing to explain where there is a deviation that needs to be rectified.

The advantage of Viscenario being in the cloud is that it is easy to have both internal and external users on the same project. Access is distributed to the various folders in a project or building.

Take picture from the mobile – get it automatically stored on current project folder

Take photos directly with your Smartphone or retrieve photos from the camera roll. Enter explanations per image. The images can either be sent one at a time or merged into a PDF report, where the logo, project, building, apartment, axis or room explains where the pictures were taken, as well as what is in the pictures. The images are automatically saved to the current folder in the project or property. It is no longer difficult to get pictures from your mobile phone to the document management system. The images are immediately available after uploading both in the browser and on tablets on the building or apartment in question. This is a great feature to use for documenting, work done.

Approval workflow for maintenance & operational documentation

When a subcontractor has uploaded maintenance & operational documentation and submitted it for approval, the document controller or maintenance & operational advisor will be notified and may approve or reject it.
